This is a guide to the data entry protocols used in the Bugwood Image Database. Each protocol has a list of instructions (in bold) with rationale or notes after each step. Experienced users can skip the notes and follow the steps of the protocol. Questions about the Bugwoood Image Database should be directed to Joe LaForest or any of the Bugwood Image Database Administrators. The Administrator Guide and the User Guide are available and may answer many questions.
Example Procedure - Leaving the house

User Procedures
- Creating an account for a Photographer or Contact
- Every person listed in our system has a user id that is used to identify them. This is how to have users create their own accounts or how to create those accounts either as an administrator.
- Preparing images for upload
- If an administrator is uploading a set of images, all images should be inspected prior to upload to ensure quality and to make sure it conforms to the standards of the system.
- Uploading digital images
- This is how all digital images that are not scans from slides are entered into the Bugwood Image Database. It can be done directly by a user or by an administrator.
- Review of images by Photographers and Contacts
- Photographers and contacts always have the ability to review their images. This is to ensure that the information is accurate or allows them to provide additional information.
- Setting up a Photographer Profile Page
- To give better recognition to photographers, we have created a way for them to create profile pages on the image websites.
- Setting up a Organization Profile Page
- To give better recognition to organizations, we have created a way for them to create profile pages on the image websites.
- Checking image use statistics
- We record the use of the iamges that are posted through the Bugwood Image Database. Here is how to get those reports.
- Using the Lightbox
- The Light box allows users to select a group of images. These are then used to request permission to use a set of images, create image collections, or create image series.

- Creating Image Collections
- Users can create image collections that can be viewed on the image websites or delivered through webservice as a slideshow.

- Users can create image series that show a sequenial process. The series can be viewed on the image websites or delivered through webservice as a slideshow.
- Peer review of selected images for a subject
- Certain users have been given the ability to review the selected images for a subject and adjust that collection as they see fit. This peer review process will help ensure that the selected image set for a species is representative of that subject and is the best the system has to offer. The selected image sets can be viewed on the image websites or delivered through webservice as a slideshow.
- Using the API's or web services to access the Bugwood Image Database
- Several different APIs or Web services have been created to allow outside systems to be able to access the images in the Bugwood Image Database and deliver that content to their users. This is a listing and explanation of those routines.
- Knowing what subjects are in demand
- We are always recruiting more images to better illustrate all aspects of agriculture, invasive species, forestry, entomology, weed science, plant pathology, and many other disciplines. To know what people have asked for images of, we have developed an image recruiting page.
