This is a guide to the data entry protocols used in the Bugwood Image Database. Each protocol has a list of instructions (in bold) with rationale or notes after each step. Experienced users can skip the notes and follow the steps of the protocol. Questions about the Bugwoood Image Database should be directed to Joe LaForest or any of the Bugwood Image Database Administrators. The Administrator Guide and the User Guide are available and may answer many questions.

Find the review page
All of our image sites use http://images.bugwood.org for review of images and access to other tools for users. The "Review Images" icon on the front page will take you to the area for reviewing images.
Choosing which photograhper to review images for
Some users are the contacts for several photographers. When this is the case, the list of all photographers appears.


Choose the section that you want to edit and click "Show section details"
The different sections let you know the status of the images you have entered into the system. Clicking "Show section details" will expand the section to show thumbnails of the image in that section.
Optional - Hide reviewed images
If images have been previously reviewed, it will be noted below the image. By clicking the link "Hide Reviewed Images" these images are removed from the queue so that only unreviewed images are being processed
Choose a starting point or choose "Review Section"
Clicking on an individual thumbnail or on "Review all in this section" will take you to a page for entering you comments on the images in that section. The "Review Section" link will start at the first number in the section and will move to the next image in that section after you submit your comments. Clicking on a number allows you to review only that specific image before it returns you to the main review page.


Look at the information entered for the image and add your corrections or comments
The review page is fairly straight-forward. The image that you are reviewing is displayed, followed by the information currently entered for it in BugwoodIDS. Below those sections, fields are provided for you to enter information.
If the image has been previously reviewed but has not been processed by a Bugwood Image Database Administrators, the date of the last review is listed at the bottom.
For the Bugwood Network Staff to enter the image into the system, they need to have the subject of the image identified. Either a scientific name and/or a common name can be given. Providing a scientific name is the most certain way to limit possible confusion. If you know the host featured in the image, that information should also be included. The description field is where a more detailed explanation can be given if necessary. It usually is coppied into the database when the image is entered. The comments field can be used to comment on the image and let the edditing staff know if there are other changes that should be made.
Set the status that you'd like for the image
This tells the Bugwood Image Database Administrators what you want them to do with the images. Options include -
  • Release with no changes - Only for images awaiting release - This will release the image just as it is shown on the page.
  • Release after Changes are Made - This makes some changes and forwards it to the Bugwood Image Database Administrator to make sure the data fits the database.
  • Don't Release / Mark for Deletion - This removes the image from the system. It will remain in the "Images Marked for Removal" section for one month.
Click the "Submit" button
This will enter the information to the database and take you to the next image.
