This is a guide to the data entry protocols used in the Bugwood Image Database. Each protocol has a list of instructions (in bold) with rationale or notes after each step. Experienced users can skip the notes and follow the steps of the protocol. Questions about the Bugwoood Image Database should be directed to Joe LaForest or any of the Bugwood Image Database Administrators. The Administrator Guide and the User Guide are available and may answer many questions.

Introduction

For the purpose of notifying the photographer or contributor and having one centralized work flow for images being entered into the Bugwood Image Database, all uploads of digital images that are not scans from slides that have been indexed and labeled for entry into the Bugwood Image Database.

Make sure the images are screened and prepared
All image uploads should be screened prior to uploading to make sure that
  • The content has not already been uploaded
  • The images meet the image quality standards
  • The images are properly rotated and are in the proper format (JPG with RGB color profile)

Sign in
The default information for photographer and contact will match the user account that is used to sign in.
Add More Files to select the images you want to upload
A popup file explorer will allow you to navigate to the images on your computer that you want to upload.
Or, Drag and Drop files
Alternatively, you can mouse over the icon for the image in an open file explorer window and click and drag the image(s) into the File Upload box.
Use the form on the left to add information
None of these fields are required but all can be helpful. If no Photographer or Contact is entered, we will assume the person uploading the images is the Photographer.
  • Batch Name - Any name you want to use to help you keep track of what has been uploaded. Some people use the name of the folder that the images are from, others use the name of the organism. This is purely for the photographer's reference
  • Location - Where the image was taken. This can be the name of a location or GPS coordinates. Decimal degree is the preferred format for GPS coordinates.
  • Photographer - Who took the image.
  • Contact - Who to send an e-mail to if there is a commercial image request or if there is a question about the image.
  • Subject - The main focus of the images or what the images are mainly trying to illustrate. A few examples:
    • When one organism feeding on something, the entity doing the feeding is the subject.
  • Host - This is not always relevant. This describes what the subject is being applied to, what the subject is feeding on, or what the subject has damaged
Press the "Upload" button
After the upload completes, an e-mail notification will be sent to the e-mail address matching the user account that was used to sign in.

Optional - Use the recent upload page to add information to individual images
After upload, the browser is redirected to a page showing what was just uploaded. This is usually used by photographers rather than administrators since administrators can directly edit the true image record rather than the temporary record that is accessed here. Information can be added to each image using the following procedure
Scroll to the image you want to add information to
The list may be lengthy depending on what you uploaded
Click the "Edit" link
This will bring up the edit form.
Enter any of the relevant information
This information will be copied to the true image record if the images are accepted for inclusion in the Bugwood Image Database.
Click the "Save" button
No changes are saved unless this is clicked
Administrators proceed to the protocol for judging images
This will approve the images that meet the image quality standards.
Photographers/Contacts
Wait for the images to be judged by the Bugwood Image Database Administrators.
