BugwoodIDS:Image status
This is a guide to the data entry protocols used in the Bugwood Image Database. Each protocol has a list of instructions (in bold) with rationale or notes after each step. Experienced users can skip the notes and follow the steps of the protocol. Questions about the Bugwoood Image Database should be directed to Joe LaForest or any of the Bugwood Image Database Administrators. The Administrator Guide and the User Guide are available and may answer many questions.

As images are processed, the status changes to determine what steps are needed next.
New Images
After images are uploaded, judged, processed, initial image records are created and they are ready for data entry. The only information on these images is the information that was provided by the photographer at time of upload. Bugwood Image Database Administrators must enter the data that was provided into the database before the record can move to any other phase of entry. Photographers and Contacts should 'only enter data if they are attempting to provide additional information. Reviewing these images will be frustrating since none of the provided data will be entered.
Needing Information
After the first round of data entry, an Bugwood Image Database Admniistrator may need additional information. If an image is placed in this section, a question should be placed in the comments field to let the photographer of contact know what additional information is needed. This is one of 2 sections that photographers and contacts should focus on.
Awaiting Public Release
After data entry, the images are placed in the awaiting public release section to give photographers or contacts the ability to comment on the data that had been entered prior to its public or private release. This is a final check to make sure that the image information matches the photographers intent. This is one of 2 sections that photographers and contacts should focus on.
Marked for Removal
Occasionally, images are added to the system and need to be removed. This can be a photographer's request, unresolved questions about the identification of the image's subject, quality concerns, or a variety of other reasons. The only reason to review these images is to make sure that what is there is meant to be removed. One month after being placed in this section, the records will no longer appear on any interfaces within the system.
Publicly Available
These images have had all of the mandatory information added to them and have been released by the photographer or contact to be available to the general public. They are available for non-commercial use as long as the images are properly cited (Photographer, Organization, Bugwood.org). Any commercial requests for the images are handled via the Light box and processed according to the photographer's or contact's wishes (Forward, Approve with notification, Approve without notification, Reject).
Privately Available
Some nodes of the Bugwood Image Database contain a private archive of images. These images are only available to employees of that organization. Privately available means that the images can be found through that organizations private image archive interface which is password protected.
